The SEPASI application (Electronic Management System for Internal Letter Archives) with electronic signatures for the Regency of Tuban is now available. This innovative tool aims to streamline and enhance the internal document management process.

Key Features:

Verification

Before a letter is sent to its destination department (OPD), it undergoes verification by the head of the department to ensure it is ready for electronic signature. This ensures accuracy and compliance with organizational standards.

Disposition of Letters

This feature allows the head of a department or equivalent to distribute letters to the appropriate department heads or sections. The disposition can only be initiated once the admin forwards the incoming letter to the relevant department head. This facilitates efficient workflow and accountability within the organization.

Feedback on Letters

Contrary to disposition, this feature enables a bottom-up reporting mechanism. It allows lower-level staff to provide feedback on the disposition of letters, ensuring that all concerned parties are informed and that actions are taken promptly.

Types of Letters

Several types of letters can be managed within the application:

1. General Letters: Standard correspondence between departments.
2. Notes of Office: Official communications from one department to a higher authority, such as from the Department of Communication and Informatics to the Regent.
3. General Invitations: Invitations created for all departments except the Regent and Deputy Regent.
4. Office Note Invitations: Special invitations exclusively for the Regent and Deputy Regent.

Notifications

Real-time notifications are provided to recipients whenever there is a disposition or feedback, ensuring that updates are immediate and transparent.

Scheduled Invitations (Invitation Letters)

For invitation letters, the details of the event will automatically be recorded in the scheduled invitation feature, making it easier to manage and track upcoming events.

By leveraging electronic signatures and streamlined processes, SEPASI significantly enhances the efficiency and security of internal document management within the Regency of Tuban.
